OVERVIEW

The used car listings in this site are populated by the stock list spreadsheet you already use. ┬áIn order to feed the stock list into the website database, a version of it needs to be saved in a different (.csv) format – the steps are covered below.

This is then uploaded and imported into the site (step 2), which REPLACES the existing used car listings with the new information in your file.

1. Saving the stock list as a .CSV file

Skip to step 2, upload and import

We will assume for this exercise that the master stock list spreadsheet is up to date

(if not just edit and save in the normal way first)

To update the used car listings on the site, you will need to do the following:

  1. Open the latest version of the stock list spreadsheet on your computer
  2. Now click “Save As” rather than “Save”
  3. This should open up a “Save As” dialogue window similar to the one below

  4. Click on the “Save as type” drop down box – marked “1”
  5. From the options list, click on “CSV (Comma delimited) (*.csv)” – marked “2”

    NOTE – DO NOT use the CSV (Macintosh) or CSV (MS-DOS) options

  6. The options list should go away and you can now click “Save” – marked “3”

  7. As the original stock list is in an Excel format (*.xls) you may see a warning that “The selected file type does not support workbooks that contain multiple sheets” – just click “OK”

  8. You will be asked to confirm the “Save As” action if you are replacing an earlier version of the .csv file – click “Yes”

  9. Depending on your version of Excel, you may see another compatibility warning – this is because of things like coloured text – again click “Yes”

  10. At the last dialogue box asking “Do you want to save the changes, click “Save”

That’s it – you’re ready to upload the new list to the website.

2. Uploading and importing the stock list .CSV file to the website

You will need to be logged in to the site with the appropriate permissions to do this

  1. The first page you will see after logging in is the “Back Office Start Menu”.
  2. Click on the first option button – labelled “Update the used car listing”

  3. Now you’re through to the USED CAR LISTING DATABASE page – first up, click on the “Choose File” button – marked “1”

  4. This opens up a file explorer window as shown below

  5. Navigate to the appropriate file location on your computer, click on the file – marked “2”, then click the “Open” button – marked “3”

  6. This closes the file explorer. Double-check you have the right file – marked “4” and click “Verify file” – marked “5”

  7. You should see a confirmation that the file has been verified successfully. Now click “Import”.
    If you do not see this message, contact Big Media support with details of the problem.

  8. The import process should take between 10 seconds and a minute, depending on the speed of your internet connection.
    Once complete, the page will report that the csv has been “Successfully Imported” and show you a table similar to the one below.
    Click on “Continue” – marked “6”, this returns you to the USED CAR LISTING DATABASE page

  9. You can now close this window, or go to the main site by clicking the link as shown below
